Terms And Conditions

We are Voyages Hub Tours Travel Canada, Inc. References to "we," "us," and "our" in these booking conditions mean Voyages Hub Tours Travel Canada, Inc. References to "you" and "your" mean all persons on the booking (including anyone added or substituted later).

Voyages Hub Tours Inc. is a Canadian tour operator based at 21087, 79 A Ave, Langley, BC, V2Y 0H6.

Before making your reservation, please read and fully understand the Terms & Conditions outlined below. Any reservation with Voyages Hub Tours constitutes a binding agreement indicating your acceptance of these Terms & Conditions. Ensure you carefully read and understand these Terms & Conditions before booking.

Depending on the nature of each sale, Voyages Hub Tours may act as a wholesale tour operator or tour agency and does not own, manage, control, or operate any aircraft, ground transportation, hotel, resort, cruise ship, restaurant, or other suppliers involved in assembling your package.

These booking conditions, along with any other written information we provided before confirming your booking and our suppliers' terms, form the basis of your contract with us for the travel arrangements detailed on www.voyageshub.com that make up your booking ('your arrangements'). Please read them carefully as they outline our respective rights and obligations. By making a booking, you agree on behalf of yourself and those you represent to be bound by all terms and conditions. If you are booking for another person, you agree to inform them about the applicable Terms & Conditions, including all rules and restrictions. Please be aware that these terms and conditions include waivers of liability, class action waivers, and venue selection and notice clauses.

You must be of legal age at the time of booking and have the legal capacity and authority to act and travel as the lead name on the booking. We will only communicate with the lead name on the booking.

Special Note: We strive to ensure the accuracy of all information and prices on our website and in our advertising materials. However, changes and errors occasionally occur, and we reserve the right to correct them in such circumstances. You must check the current price and all other information related to the arrangements you wish to book before your booking is confirmed.

In these terms, a 'package' means the pre-arranged combination of at least two of the following components when sold or offered for sale at an inclusive price, covering more than twenty-four hours or including overnight accommodation: (a) transport; (b) accommodation; (c) other tourist services not ancillary to transport or accommodation and accounting for a significant proportion of the package.

The easiest way to make a reservation is through our website, but you can also call us at 1-888-996-2596, Monday - Friday, 9:00 am - 5:00 pm PST, for assistance. In some cases, our Customer Service team can complete the booking on your behalf. By submitting (or agreeing to let us submit) your booking via our website, you accept these terms on behalf of all persons named in the booking. A binding agreement for your arrangements is formed when we issue a confirmation. Please check all booking details, including personal information, before confirming. If booking through our Customer Service team, ensure all information is correct and check the confirmation or any issued document immediately upon receipt. Changes may not be possible later, so review the information carefully before finalizing your purchase. For later changes, refer to the "Changes" section of these Terms and Conditions. You can access your booking details in your “My Account.”

The suppliers providing services for your arrangements operate under their own terms and conditions, which form part of your agreement with us. These terms and conditions may limit or exclude the supplier's liability, often in accordance with applicable International Conventions. While we carefully select our suppliers, we are not liable for their insolvency or bankruptcy.

Travel is personal, and individual goals and experiences may vary. We are not liable for any description, photograph, representation, or warranty made by any independent third-party sales representative, travel agent, or other entity related to any holiday/vacation offered by Voyages Hub Tours Inc.

A non-refundable $500 deposit (or as specified) is required at the time of booking. For reservations made within 90 days of departure, full payment is due immediately. It is strongly recommended to purchase insurance at the time of deposit. Some tours and arrangements may require a higher deposit, which will be specified at the time of booking. In addition to the deposit, full payment for airfare is necessary to issue tickets and guarantee the fare. It is advised to confirm land arrangements before issuing airline tickets.

The cardholder is responsible for all charges at the time of purchase. By using your credit card to pay the deposit and final payment, you agree to these Terms & Conditions, whether the card was used over the phone, online, or in person. Voyages Hub accepts MasterCard, Visa, and American Express credit cards. Voyages Hub Travel will appear as the vendor on your credit card statement. By providing your credit card authorization, you confirm that you will pay the total amount charged for the services to the card issuer according to your cardholder agreement. If the cardholder is not one of the travelers, a credit card verification process, including a Third-Party Credit Card Form and two pieces of government-issued identification, will be required.

Transaction Fee
Occasionally, banks may charge a fee for payments made in a different currency or to a business in another country. This fee is determined by the customer’s bank, not by Voyages Hub, our bank, or our merchant service provider. For clarification on any extra fees, the cardholder should contact their bank directly.

Balance Payment
A guaranteed balance payment is due 90 days before departure. If the balance is not paid by this date, we reserve the right to cancel the booking(s) without further notice, with cancellation fees as outlined in the "Cancellations by the Customer" section applying. By using a credit card for payment, you agree to the cancellation policies and waive your right to a chargeback, except in cases of fraud. If a chargeback is requested and disputed, you will be responsible for all related costs, including attorneys' fees. Early enrollment is recommended as group sizes are limited, allowing you to make payments in smaller installments at your preferred amounts and dates.

Payment extension
We understand that circumstances can change and you might need an extension to make a payment. In such cases, please contact us to discuss payment arrangements, and we will work with you to find possible solutions for extending the payment deadline.

Currency & Validity of Rates:

The price quoted is confirmed at the time of booking and is in the currency specified (USD for travelers from the USA and CAD for travelers from Canada). Prices are based on foreign exchange rates at the time of publication and may be subject to adjustments due to factors such as fuel costs, exchange rates, tariffs, and airline pricing. While infrequent, we reserve the right to modify the price of any tour and issue an updated invoice. Customers will typically be notified of any price changes no later than 90 days before departure. In the event of a price increase due to a carrier fuel surcharge or significant exchange rate fluctuation (exceeding 5% since the contract date), or if the increase is 7% or more of the service price, customers may opt for a full refund or similar services. Refunds are processed by Voyages Hub Tours within 14 to 30 days after receiving a written cancellation request.

Price Inclusions:
The price includes only the specific items listed on your booking at the time of purchase. Customers should carefully review their package for details on inclusions. Any item not explicitly mentioned on the booking at the time of purchase is not covered in the price. Customers are encouraged to review their booking documents and direct any inquiries regarding pricing, inclusions, or exclusions to a Voyages Hub representative prior to making payment.

Price Exclusions:
Additional charges beyond the package price may apply to most packages and hotel bookings and are not covered by Voyages Hub Tours package prices. These may include:

  • Supplementary services purchased at the destination (e.g., meals, drinks, cleaning, incidentals, items, and services listed in the facility description)
  • Transportation costs to and from the destination
  • Meals and alcoholic beverages (unless otherwise specified)
  • Optional excursions
  • Communication charges (e.g., telephone calls, data usage, WiFi)
  • Tips or service gratuities
  • Mandatory gratuities for cruises
  • Laundry services
  • Car rental fees, insurance, taxes, and local fees charged by the car rental company
  • Personal items or services
  • Departure taxes
  • Hotel administrative fees
  • Hotel transfers
  • Baggage fees on certain flights
  • Additional fees for sports equipment on transfer vehicles
  • Any other item not explicitly listed as included at the time of booking.

Additionally, certain local taxes and fees may be applicable in addition to the aforementioned charges for the destination, payable in the local currency before departure. Customers are advised to consult the relevant government authorities of their destination for information on applicable taxes.

Land Only Travelers
For travelers opting for Land Only packages, please refrain from booking airfare through an independent agent until the tour is confirmed. A notification confirming the departure will be sent no later than 140 days prior to the expected departure date. Should there be any delays in your flight arrangements or if we need to modify the tour start/end locations or dates after confirmation, you will be responsible for any resulting expenses. It's important to note that discount consolidators and travel websites do not offer the same level of service as our comprehensive, in-house air-ticketing department, which is staffed by experienced professionals skilled at organizing complex trips. While discounters prioritize volume, they lack the professional travel planning assistance we provide. If you choose to book independently, exercise caution when selecting a company and ensure all reservations are verified directly with the airline.

If you are arranging your air travel independently, it is your responsibility to provide us with your flight schedule before departure so we can verify your arrival. Land Only package passengers are not eligible for arrival or departure transfers unless purchased separately. However, passengers booking both Land and Air packages are entitled to transfers. If such participants arrive early or depart late, transfers will be provided only if additional hotel nights are booked through us.

The cancellation policy and fees state that partial cancellations are not allowed. If customers wish to cancel their booking, the outlined cancellation policy will apply. Voyages Hub Tours incurs various non-refundable costs before cancellations, so penalties reflect these unrecoverable expenses. Upon cancellation, Voyages Hub Tours reserves the right to claim the applicable penalty and any incurred expenses or costs.

Cancellation by the Customer: After making a partial or full payment, cancellations will only be accepted in writing. If a client wants to cancel their reservation, they must submit their request via email or our contact form accessible here. The cancellation request will only be considered effective upon receipt in writing. If received outside our Customer Service team's operating hours, it will take effect from the following business day (please refer to the "Contact" section of our website for operating hours).

Specific cancellation conditions for a particular trip, if applicable, will be detailed in the "Cancellation Policy" section of the offer. If no specific conditions are provided, the following cancellation fees will apply:

  • Before the combined trip starts, travelers may cancel at any time. The applicable fees are as follows:
    • If canceled 140 or more days before the trip's departure date, the initial deposit of USD 500 (or as specified) will be applied as the cancellation fee.
    • For bookings where air tickets have been issued at any time before the departure date, relevant cancellation charges will be communicated and enforced accordingly.
    • If canceled between 119 and 90 days before the trip’s departure date, a penalty of 50% of the total booking amount will be applied.
    • If canceled 89 or fewer days before the trip's departure date, a penalty of 100% of the total booking amount will be applied.

If any member of a group decides to cancel, it could potentially increase the holiday price per person for the remaining travelers, and you will be responsible for covering this additional cost.

Given the expenses involved in canceling your arrangements, cancellation fees will be enforced as detailed above, starting from the day we receive written notification from you. The earlier the notification, the lower the fees. However, it is important to note that apart from the specified charges, certain air tickets are non-refundable, leading airlines to impose 100% cancellation fees along with the cost of acquiring a new ticket.

These penalties and administrative expenses will be deducted from any payments received by Voyages Hub Tours Inc. If your reasons for cancellation are covered by the insurance company's terms and conditions, you may be eligible for reimbursement of these charges from them. These fees are considered liquidated damages to compensate Voyages Hub Tours for prepayments made for advance booking of travel services and for the administrative costs associated with processing cancellations.

Cancellation by Voyages Hub Tours Due to Unforeseen Circumstances
We reserve the right to cancel departures due to unforeseen circumstances beyond our control, such as war, civil unrest, pandemics (e.g., Ebola, Zika, Covid-19), catastrophic events like hurricanes, earthquakes, volcanic eruptions, lockouts, labor disputes, acts of God, strikes, or government-imposed restrictions–commonly referred to as "force majeure."

In such cases, we shall not be liable for any claims, losses, damages, costs, expenses, delays, or loss of enjoyment resulting from events beyond our or our suppliers' reasonable control.

Cancellation More Than 140 Days Prior to Tour Start Date
If cancellation occurs more than 140 days before the tour start date due to unforeseen circumstances, we will offer 100% credits for all deposits. These credits can be applied to any future scheduled or custom tour, subject to any applicable time limits. Voyages Hub Tours Inc. will have no further responsibility beyond refunding all monies paid by the Passenger, which will be considered full settlement. We cannot guarantee weather conditions, nor can we be responsible for any disruptions to trip operations caused by weather or other reasons.

Cancellation Within the 140-Day Period
If cancellation occurs within 140 days of the tour start date due to such unforeseen circumstances, all funds paid are non-refundable. Therefore, we strongly recommend that all travelers purchase travel insurance to protect against losses incurred for such perils. In exceptional cases, we may offer to reschedule your trip to another departure date of the same tour code within 12 months of the original date, with the full payment for the rescheduled tour remaining non-refundable.

Cancellation Due to Insufficient Enrollment
If your tour is canceled due to insufficient participants, we will strive to offer you an alternative tour, either the same one on a different date or another tour of your choice. If these options do not work for you, we will fully refund your deposit(s) as a complete settlement. We will not cover any additional expenses such as visas, vaccinations, airfare bought independently, or any other compensation. You will be notified of the cancellation no later than 140 days before the trip start date.

Additional Fees and Charges:
If relevant, your invoice will include additional expenses such as single supplements, extra accommodation, visa/permit fees, international air taxes/fuel surcharges, domestic air taxes, and arrival/departure transfers (for Land Only customers). Requests for transferring to another tour or changing tour dates are only accepted if made more than 140 days before departure and will involve a transfer fee. Any other alterations are subject to availability, and adjustments to airline tickets will incur fees determined by the airline. Moreover, you may be required to cover local taxes during the tour, which will be communicated to you beforehand.

Refunds or credits will only be available for services canceled by our local operator due to operational, weather, technical issues, or circumstances beyond their control. Changes in airfare costs and limited tour capacities can affect our package prices and availability. Once your reservation is confirmed, we cannot offer refunds if a lower sale price is advertised later. We do not reimburse or provide refunds or credits for unused travel services or any part of the package. If you need to cancel due to weather, illness, or circumstances beyond our control, please contact your travel insurance provider. We cannot guarantee any refunds. Please note that if a product price is mistakenly displayed on VoyagesHub.com, we may cancel the reservation and issue a refund promptly.

Changes by the Traveler
If you need to modify your confirmed arrangements, please notify us in writing via email or through the "Contact Us" form on our website as soon as possible.

Your change request will only be effective once received in writing. If received outside our Customer Service operating hours, it will take effect on the next working day (refer to the "Contact" section of our website for Customer Service hours). If we cannot accommodate your requested change and you do not wish to proceed with the original booking, it will be considered a cancellation by you, and our Cancellation Policy will apply based on the proximity to the departure date.

We cannot guarantee that changes can be made, but we will try to assist. If we can meet your request, you will need to pay any applicable rate changes, additional costs incurred by Voyages Hub Tours, and any fees from our suppliers.

Certain arrangements, especially those involving flights, may not be amendable after confirmation, and changes or cancellations could incur a charge of up to 100% of that part of the arrangements, in addition to the above charges.

Changes by Voyages Hub
All itineraries should be considered "tentative." Despite our best efforts to ensure accuracy, unforeseen circumstances may require changes to tour content and dates. Refer to the itinerary in your final documents package for updates. If dates change, we will notify you promptly to allow necessary adjustments. Field conditions may also necessitate modifications after the trip has begun. Tour participants are responsible for any additional costs from en route itinerary changes or alterations in transportation, hotels, Tour Leaders, etc. Clients booking Land Only are responsible for costs related to changes in the tour start or end points.

As we plan your arrangements well in advance, we reserve the right to make changes or cancellations if necessary. Most changes will be minor, and while we will notify you as soon as possible, we will not have further liability to you. Examples of minor changes before departure include:

  • A change in the overall length of your arrangements by twelve hours or less.
  • A change of accommodation to another of the same standard or classification.

Major changes before departure may include:

  • A change in the accommodation area for a significant part of your stay.
  • A change to lower standard or classification accommodation for a significant part of your stay.
  • A change in the overall length of your arrangements by twelve hours or more.
  • A significant change to your itinerary, missing one or more destinations.
  • Complete trip cancellation due to not meeting the minimum group size (for group travel only).

If we must make a major change or cancel, we will notify you as soon as possible. If time permits before departure, we will offer you the choice of:

  1. Accepting the changed arrangements.
  2. Receiving a refund of all amounts paid as a Travel Credit.
  3. Accepting alternative arrangements of comparable standard from us, if available (we will refund the price difference with a Travel Credit if the alternative is of lower value, and you will incur extra costs if it is of higher value).

You must inform us of your choice within 3 days of our offer. If you do not, we will assume you have accepted the change or alternative arrangements. Compensation and the above options will not be available if:

  • We make a minor change.
  • We cancel due to your failure to make payment as per these terms.
  • The changes or cancellation arise from alterations requested by you.

If we cannot provide a significant part of your arrangements after departure, we will arrange alternatives or provide an equivalent. For package arrangements, we will also offer reasonable compensation unless the changes or cancellations are due to "force majeure" (see the relevant section for details), in which case we cannot provide refunds, compensation, or cover any resulting costs or expenses. This outlines the maximum extent of our liability for changes and cancellations, and we cannot cover any other expenses or losses you may incur as a result.

We reserve the right to modify our tour itinerary if a government advisory or entry restriction is issued for a country or area in our original plan, or if field conditions or logistical issues (such as disruptions to transportation, schedule changes, quarantines, government travel restrictions, or civil unrest) make a location impractical, impossible, or illegal to visit. These changes may occur on short notice or during the tour. Therefore, we strongly recommend purchasing travel insurance that covers costs related to itinerary changes, as Voyages Hub Tours will not reimburse these costs or refund necessary omissions.

In rare cases, we may have to cancel tours before departure due to "force majeure" (see the section "Cancellations, Refunds & Transfers"). Some of our tours visit places with existing travel advisories; these are noted on each tour page on our website under "Transport & Travel Conditions" and on your booking invoice. By paying a deposit to Adventures Abroad, you acknowledge your awareness of any travel advisories issued by DFAIT Canada and/or the US State Department for the countries visited and willingly choose to join the tour. It is the traveler’s responsibility to check government websites and voluntarily participate, understanding the inherent risks and hazards of travel.

At Voyages Hub, your safety and enjoyment are our top priorities, which is why travel insurance is mandatory for all trips. Before joining your tour, ensure you have insurance that covers baggage, medical expenses, and repatriation costs in case you become too ill to continue traveling. Additionally, we strongly recommend coverage for tour cancellation in case you need to cancel your reservation before departure due to serious illness or injury to yourself, an immediate family member, or a traveling companion. While trip cancellation and interruption insurance is optional, it is highly recommended as it provides peace of mind and financial protection against unforeseen events that might disrupt your travel plans.

Please contact your local insurance provider for a quote tailored to your journey. We require all passengers to have medical insurance and to understand their policy's coverages and exclusions, including those related to specific countries or regions with government advisories. If you are 65 or older at the time of travel, you must complete and sign a self-assessment questionnaire confirming your suitability for the chosen tour. Certain tours, especially those involving high altitudes or walking/trekking, require a medical questionnaire regardless of age.

Early check-in/late check-out:
Upon the commencement of the tour, hotel check-in typically takes place within standard hotel check-in times, generally between 2:00 to 4:00 PM local time. Similarly, on the final day of the tour, regular hotel check-out is typically between 11:00 AM to 12:00 noon. We regret that early check-in or late check-out cannot be assured for early arrivals or late departures. We can only make requests for early check-in or late check-out on your behalf.

Preferred Seating on the flights:
As an intermediary, we can only make seating requests on your behalf. If you desire specific seats, you will need to directly contact the airline to arrange for them.

Airmiles or Points:
Please promptly notify us if you wish to accumulate reward points for airline tickets purchased through us. However, please be aware that certain pricing may not be eligible for frequent flyer programs. While we will exert every effort to accommodate any special requests by communicating with our suppliers in writing, such as specific room preferences, adjacent rooms, seating preferences, or meal requirements for flights or accommodations, we cannot guarantee that our suppliers will fulfill such requests.

Dietary Restrictions:
Regarding dietary restrictions for included meals during the tour, we take note of any restrictions you inform us of. However, we cannot ensure that all dietary preferences or restrictions can be catered to, and we will not be held responsible for any inability to meet or fulfill such requests.

Mobility Concerns:
We kindly request that our travelers notify us in advance of any disabilities or special requirements they may have to ensure a smooth experience. This allows us to notify our local suppliers appropriately and prevent any unexpected issues during the trip.

Airlines determine the terms of air transport and assume full responsibility for any changes to flight schedules, routes, stops, airports, delays, or cancellations. These adjustments are typically made to manage airspace congestion, comply with air navigation regulations, and uphold aircraft safety standards. We are not accountable for alterations to flight schedules, delays, cancellations, or other incidents attributable to the airline, your actions, third parties, or force majeure. If the outbound flight ticket remains unused, the return flight may be canceled by the airline.

Check-in and boarding procedures vary among airlines, so travelers should arrive at the airport well in advance of departure time. It is your responsibility to stay informed about and adhere to the latest airline and entry requirements for your destination, return trip, and any transit countries. Once an e-ticket has been issued, the associated flight becomes non-refundable. For any change requests, you must comply with the airline's conditions, including any applicable fees.

Airlines reserve the right to modify schedules or cancel flights before departure, so it is advisable to confirm your flight within 48 hours prior to departure. While Voyages Hub provides a variety of airlines and airfares for your convenience, we are not responsible for the services and policies imposed by the selected airline. Airline schedules and flights are subject to change without prior notice, and Voyages Hub holds no liability for any penalties incurred for tickets, whether international or domestic, not issued by Voyages Hub due to schedule or flight alterations.

Airline Contact Information: According to airline regulations, passengers must provide Voyages Hub with their personal details, including name, date of birth, gender, address, phone number, email, and fax data. Passengers should ensure that their names match those on their invoices to avoid issues with boarding or document delivery.

Airline Name Changes: Any alterations to passenger names, including minor spelling corrections, may require the cancellation and re-booking of airline reservations. Reservations are subject to availability and pricing at the time of rebooking. Once airline tickets are issued, subsequent name corrections will incur an airline rebooking fee, which could amount to the full value of the ticket plus a $50 revision fee per change. Voyages Hub is not responsible for any denial of services by the carrier due to name discrepancies.

Airline Taxes & Surcharges: Airfare purchases include airline taxes and surcharges. Prices may increase prior to completing full payment due to government-levied taxes and fees or increased surcharges. To avoid potential increases, consider expediting your final payment to expedite ticket issuance. Once issued, airline tickets are no longer subject to potential increases but are fully non-refundable. Certain overseas domestic flights may be subject to locally payable air taxes, which will be specified in our final documents.

Airline Tickets: Upon receipt of full payment, airline tickets will be issued and become non-refundable. If airline tickets need to be issued before the Final Payment Due date, a larger non-refundable deposit or full payment may be required.

Regarding airline seat assignments, Voyages Hub Tours cannot guarantee specific seat selections, and some carriers may offer seat selection only 24 hours prior to departure or not at all. Certain airlines or fare types may charge a fee for advance seat selection, regardless of cabin class or fare type. Alternatively, travelers can select seats based on availability up to 24 hours before departure during online or airport check-in. Please be aware that airline seat assignments are subject to change by the airline, especially in the event of schedule or equipment changes, which may result in modifications or cancellations. Any changes made directly with the airline will not be reflected in our system. When Voyages Hub documents are issued, assigned seats will be based on the airline's records at that time.

For airline loyalty programs, passengers should contact their respective airlines to inquire about mileage eligibility and accrual. Mileage awards are determined by the airlines according to their rules, which may exclude certain fares or code-share flights. While Voyages Hub records frequent flyer numbers provided by passengers, eligibility for mileage accrual is solely determined by each airline. It's recommended to provide frequent flyer account information during check-in to ensure mileage credit.

For upgrades using Airline loyalty programs, When utilizing airline loyalty points for upgrades, it's important to acknowledge that the air tickets issued through us are based on specialized tour or travel fares and may not qualify for upgrades through airline loyalty programs. If you intend to utilize your loyalty program for upgrades, we recommend making your own flight arrangements directly with the airline.

In the event of airline schedule changes, Voyages Hub will make efforts to inform passengers before departure. However, we are not responsible for such changes, including alterations to routing or the number of stops. We do not provide compensation for changes to schedules, seat assignments, or cancellations made by airlines. Passengers must inform Voyages Hub in writing if they directly modify their flight itineraries with the airline.

Checked baggage allowances and fees are determined by airlines and may vary. Passengers are advised to select airfares that include checked baggage to avoid additional charges. Voyages Hub is not liable for checked bag fees, excess luggage fees, or weight charges imposed by airlines. In cases of lost or damaged luggage, passengers must file a claim with the carrier before leaving the airport.

For travelers requiring special assistance, please inform Voyages Hub at the time of booking. While reasonable efforts will be made to accommodate special needs, it's advisable for individuals requiring assistance to be accompanied by a companion. Voyages Hub cannot provide special individual assistance for routine activities. Additionally, passengers requesting wheelchair-accessible rooms on cruises must meet specific criteria.

Transportation companies and airlines are not liable for incidents occurring when passengers are not aboard planes or other conveyances. We adhere to international conventions to address any claims arising from the services provided, which limit our liability for claims related to passengers and luggage.

Regarding required documentation for your trip, passengers must ensure their travel documents comply with airline, immigration, and destination authorities' requirements. All passengers, including infants and children, must carry valid travel documents, with passports being required for travel outside the US. Failure to comply may result in fines or penalties. Additionally, certain documents such as green cards or expired photo IDs are not accepted for travel. Passengers must enter travel document information during online check-in and present valid documents at airport security and at the gate.

ROOM OCCUPANCY POLICY

room policy

Room Configuration and Booking: The prices advertised are based on maximum occupancy, and rooms may feature different combinations of bed types based on the number of occupants. If the names of roommates are not provided at the time of booking, Voyages Hub Tours Inc. reserves the right to assign roommates based on the selected occupancy. The company bears no responsibility for any injuries, losses, or damages resulting from roommate assignments. Upgrades to single or double rooms are available for an additional fee. Room allocation, unless specifically stated otherwise, is determined by the hotel management on a first-come, first-served basis, and special requests are subject to availability.

Travel to, from, and through most countries typically requires a valid passport, often with a minimum validity of six months beyond your return date, including return travel to Canada. It's advisable to apply for a passport well in advance if you do not have one.

It is the responsibility of travelers to ensure compliance with passport, visa, health, and immigration requirements for their journey. While we can provide general guidance, it is essential to verify specific requirements with the relevant Embassies/Consulates and healthcare providers. Due to potential changes, confirm these requirements well ahead of your departure. Many countries now require passports to be valid for at least six months beyond the return date. If your passport is nearing expiration, consult the Embassy of your destination country. Up-to-date travel advice is available from the Department of State at www.state.gov.

We are not liable for any inability to travel or losses incurred due to non-compliance with passport, visa, immigration, or health formalities. By agreeing to our terms, you agree to reimburse us for any fines or losses resulting from your failure to comply.

Airlines are required to provide specific travel and booking data to the US Bureau of Customs and Border Protection (CBP) in accordance with US Government regulations. This data is utilized to prevent terrorism and other serious crimes. It is imperative to ensure you and any accompanying children possess the necessary valid travel documents for each country/region on your itinerary. Please note that outbound travel documents may differ from return requirements.

Additional documents may be necessary to enter Canada based on your country of origin, even for transit purposes.

For comprehensive information on passport, visa, and health requirements, visit the IATA Travel Centre, Travel and Tourism Canada, and the US Embassy for detailed information on country-specific passport, visa, and health requirements, or contact the embassy, high commission, or consulate of each country on your itinerary.

Passenger Responsibility
Trip participants are accountable for selecting a trip that aligns with their physical abilities and may be required to complete an online "Self-Assessment Form." They must thoroughly review pre-departure information, bring all necessary equipment and attire, and adhere to the guidance provided by our Tour Leaders and/or local agents and guides. We retain the right to decline any application or dismiss any tour member whose conduct is incompatible with the interests and well-being of other participants. Any expenses incurred due to dismissal will be the responsibility of the passenger.

Our Responsibility
We serve as an intermediary for the specified service providers and transportation operators. All tickets and vouchers are issued under their terms and conditions. We do not assume liability for any injury, illness, death, loss, accident, or delay caused by defects or actions of any company or individual involved in organizing the tour or flights. We are not liable for changes in schedule or other issues stemming from inadequate health certificates/inoculations, travel documents, seasonal fluctuations, labor strikes, civil unrest, political instability, or natural events. We cannot guarantee that accommodations, ground transportation, airlines, ferries, rail services, cruise ships, or similar services will precisely match the descriptions in our catalogues, itineraries, or promotional materials. Despite our diligent efforts in contracting services, we cannot be held responsible for errors or omissions by suppliers. If a supplier fails to fulfill their contract, we reserve the right to adjust, modify, or cancel the services outlined in our materials. In such instances, we will endeavor to provide comparable services, but we are not liable for any discrepancies in quality or enjoyment. Given that tourism is still evolving in many destinations, facilities and services may be undergoing construction or repair. We will strive to accommodate trip arrangements if informed of such events in advance.

Destination Conditions
Voyages Hub endeavors to provide updated information regarding destination conditions, including travel document requirements and advisories. However, the accuracy of this information cannot be guaranteed. Therefore, it is recommended to visit http://travel.gc.ca/travelling/advisories for Canadians and https://travel.state.gov/content/travel/en/traveladvisories/traveladvisories.html/ for U.S. Citizens before confirming travel plans to stay informed about relevant travel advisories. It is your responsibility to adhere to the customs, regulations, and laws of the country you are visiting. Any behavior deemed threatening may result in refusal of service or expulsion from premises by Voyages Hub or service providers. In such cases, you will be responsible for all associated costs, and no refunds will be provided for any unused portion of your vacation.

Additional Risks:
Traveling may entail supplementary hazards and uncertainties, such as venturing into underdeveloped regions, using various modes of transportation, encounters with animals, exposure to natural forces, political instability, unfamiliar local customs, divergent sanitation and safety standards, risks associated with food, water, plants, insects, and differing animal regulations, as well as accidents or illnesses in areas lacking prompt evacuation or medical facilities. These risks are illustrative and not exhaustive of the perils involved. By participating, you assume all risks and agree not to hold VOYAGES HUB TOURS, its affiliates, or personnel liable for bodily injury, emotional distress, death, property damage or loss, or any other losses, regardless of cause, arising from your trip. This agreement releases VOYAGES HUB TOURS and its personnel from any claims arising from your participation in the trip. This release of liability and assumption of risk applies to you, your family, your party, including minors, and binds your heirs, legal representatives, and assigns.

Airport Check-In
Different airlines may operate the flights, so Voyages Hub Tours recommends reviewing each airline's check-in procedures and required documentation. Due to potential extended wait times, customers should arrive early at the airline's airport counter as indicated in the Flight Itinerary emailed to them, following the check-in and boarding gate deadlines posted on the airline's website. During check-in, customers must provide their name and contact details. Those needing assistance can seek help from airline representatives at the airport. Failure to meet check-in or boarding deadlines may result in the cancellation of your reservation without the possibility of a refund or alternative arrangements.

Food, Water, and Beverages
Changes in routine, climate, and food and water quality in foreign countries may pose health risks. Customers are advised to take necessary precautions. Voyages Hub Tours accepts no liability for claims, losses, damages, costs, or expenses arising from such conditions and resulting health issues. Occasional water interruptions or power outages may occur.

Optional Tours, Add-ons, and Adventure or High-Risk Activities:
Participating in optional tours or activities carries inherent risks, and travelers assume full responsibility for any injuries, losses, or damages that may occur. Voyages Hub is not responsible for the actions or failures of independent third-party service providers, and participants must release Voyages Hub from any liability related to these tours or activities.

Seat Rotation:
Seats are rotated onboard all Voyages Hub tours under the direction of the tour manager to avoid partiality among passengers.

Maps and Photos:
Maps and photos provided on tour pages may not accurately reflect the actual tour routing or conditions experienced during the trip.

Baggage Disclaimer:
While efforts are made to handle passengers’ luggage with care, Voyages Hub and their local partners are not responsible for, and do not accept claims for, loss or damage to luggage due to breakage, theft, or wear and tear through handling by airlines, airports, hotels, or group carriers. It is advised to have adequate insurance to cover these possibilities. Check with your sales agent for affordable insurance options. There are restrictions on the number and size of bags allowed by coach and air carriers. Confirm these limitations with your travel professional before departure.

Insects and Pests:
Insects may be present both indoors and outdoors at hotels included in vacation packages. Customers should take preventive measures.

National Holidays, School Breaks, Elections, and Conventions:
During periods such as school breaks, religious holidays, elections, and conventions, some services and amenities may be limited. These periods, set by local authorities, vary by country. Unexpected closures of attractions and shops may occur during these times. Voyages Hub Tours is not responsible for any inconveniences experienced by customers traveling during these periods.

Local Laws and Regulations
Customers are responsible for complying with all laws, regulations, and policies in the countries they visit, including during transit.

Communication with the travel agent:
Customers should clearly communicate their intentions, expectations, and requirements to their travel agents before finalizing their travel reservations.

Special Needs:
Passengers requiring special accommodations, transportation, and airline services should make specific requests when booking. Some medical conditions may necessitate advance notice and approval for air travel. Adapted transportation may be available at the destination for an extra fee. Certain hotel activities may not be accessible to individuals with reduced mobility. Cruise lines typically offer limited wheelchair-accessible staterooms, requiring a medical certificate for booking at least 30 days before sailing. Passengers with special needs on cruises should be accompanied by a caregiver who assumes full responsibility for their well-being. In some instances, passengers in wheelchairs may be unable to disembark due to docking limitations.

Medication:
Passengers must ensure they have all necessary medications, confirm their suitability for travel, and carry them in their carry-on luggage. Passengers should ensure they are medically fit to travel and consult a qualified medical professional if necessary.

Vaccinations:
Passengers are responsible for obtaining required medical inoculations and certificates for travel.

Pregnancy
Customers must inform Voyages Hub Tours of pregnancies at the time of booking. Most airlines permit travel up to the 36th week of pregnancy for women with no history of premature labor. Local guidelines should be consulted, and the Government of Canada can provide references. Cruise lines typically prohibit women in the late stages of pregnancy (generally after 24 weeks) from sailing. A medical certificate may be required for women in earlier stages of pregnancy. Specific details vary by cruise line and are subject to change, provided at the time of booking upon notification of the condition.

Unfit for Travel:
Voyages Hub Tours and its suppliers reserve the right to refuse any passenger at any time. Passengers may be declined or have their voyage terminated at their own cost and risk if their physical or mental condition, as determined by the ship's physician, renders them unfit for travel or poses a danger to themselves or others. Cruise lines also reserve the right to refuse or terminate the voyage of any passenger deemed by the ship's captain to be a danger to themselves or others, or disruptive to fellow passengers or crew, at the captain's sole discretion. Such passengers may be disembarked at any scheduled port or location without liability to the cruise line or Voyages Hub Tours. In such cases, neither the cruise line nor Voyages Hub Tours will provide refunds or cover additional expenses.

We accept responsibility as an organizer under the Package Travel, Package Holidays, and Package Tours Regulations in the US. Subject to these booking conditions, if we or our suppliers negligently perform or arrange the services we are obligated to provide as set out in your confirmation, we will compensate you reasonably. However, you must prove that we or our suppliers were negligent to make a claim. We will not be responsible or compensate you for any injury, illness, death, loss, damage, expense, cost, or other claims if it results from:

  • The acts and/or omissions of the affected person(s); • The acts and/or omissions of a third party unconnected with the provision of the services contracted for and which were unforeseeable or unavoidable; • Unusual or unforeseeable circumstances beyond our or our suppliers' control, the consequences of which could not have been avoided even with all due care; • An event which either we or our suppliers could not, even with all due care, have foreseen or prevented.

We may, however, provide reasonable assistance if you experience difficulty due to these circumstances if your arrangements constitute a package. We will not be responsible or compensate you:

  • For services or facilities not part of our agreement or not advertised by us. This includes any excursions you book while away or any service or facility your hotel or any other supplier agrees to provide; • For any damage, loss, or expense, or other sums which, based on the information given to us by you concerning your arrangements prior to confirmation, we could not have foreseen or incurred if we breached our contract with you, or that relate to any business.

Luggage and personal belongings are transported at your own risk and should be supervised at all times. For air, rail, sea, or river transport, the conditions set by transportation companies will apply, as stated on the applicable passenger ticket. In the event of harm, late delivery, or loss, you should report this immediately to the carrier. Any compensation payable will be calculated considering all relevant factors, such as:

  • Whether you followed the complaints procedure as described in these conditions. It is a condition of our acceptance of liability under this clause that you notify any claim to us and our suppliers strictly in accordance with the complaints procedure set out in these conditions; • The extent to which our or our employees' or suppliers' negligence affected the overall enjoyment of your arrangements; • When making any payment, we are entitled to deduct any money you have received or are entitled to receive from any transport provider or hotelier for the complaint or claim in question.

By participating, you acknowledge the inherent risks of travel, both domestic and international, and assume responsibility for your travel decisions. Voyages Hub, along with its agents, solely act as representatives for clients concerning travel matters. They bear no responsibility or liability for the services of transportation providers, including trains, vessels, aircraft, or any other conveyances, nor for the services of hotels, or any other service providers. Any alterations to the itinerary or arrangements, made for the comfort or wellbeing of passengers or other reasons, may be executed without penalty to the operators. Any resulting additional expenses will be borne by passengers, while refunds will be issued for any savings realized. The airlines are not responsible for events occurring when passengers are not on board their aircraft. The passage contract issued by the airlines constitutes the sole agreement between the airlines and the purchaser of the tours/passenger. Voyages Hub reserves the right to withdraw tours, decline or retain passengers, and assumes no responsibility for lost tickets or coupons.

By agreeing to this, you release Voyages Hub from its own negligence and assume all related risks. This agreement serves as a release for you, your heirs, administrators, executors, and all members of your family, including minors. Trip members grant Voyages Hub Tours Inc. permission to use photographic records of its trips for promotional and commercial purposes.
